Welcome Home!

We hope you’ve had a wonderful summer and you’re ready to jump into an exciting year at Ball State.

All of the information you need to prepare to move in can be found below.

Instructions

In mid-July following Orientation, all students will receive information via their Ball State email account and via regular mail, with details about their roommate (with contact information) and hall assignment.

A suggested time for your arrival will also be provided. This schedule can also be viewed below. (We assign students and families different times of the day to arrive to prevent congestion and long-lines and ask that you try to follow this.)

Make sure to have your Ball State ID ready when you arrive. Our curbside check-in process will have you checked into your building quickly and efficiently so you're ready to move your belongings into the hall!

The move-in process is straightforward and involves the following:

  1. Please follow the directions on this page to arrive on campus during your designated time slot.
  2. The student will exit the car and present their Ball State ID card.
  3. Our staff will start the check-in process and take the student to get their key(s) and additional materials.
  4. Parents and friends will unload the car in the designated area.
  5. Once unloaded, the car will need to be moved to the designated parking area as soon as possible to allow other families to unload.
  6. Once parked, items can be taken up to the room by hand or with the carts provided at each hall.

Please plan to move in on your designated day—early move-in is not possible, as we will make last minute preparations to the halls up to the day of move-in and on-campus dining choices will be extremely limited. For students moving in early with an approved group, please plan to follow the schedule provided by your group leader and also check your Ball State email for additional information about early move-in.

Residence Hall Policies

These will be delivered to your room before your arrival, if you placed your ordered before the July 31 pre-order deadline. Order online.

While some residence halls offer central air conditioning (Baker/Klipple, Palmer/Davidson, Painter/Whitcraft, Park, DeHority, Kinghorn, Studebaker East, Johnson A and B), we understand that some students with medical needs may require air conditioning in buildings without central air. For this reason, students with written authorization from the Office of Housing and Residence Life may rent air conditioners for their residence hall rooms.

The yearly rental fee is $150, which includes installation, and your Bursar's account will be charged in September for the yearly fee. (Sorry, air conditioning units cannot be installed in Elliott Hall's casement windows.)

(Please do not bring a roll away or freestanding air conditioning unit for your room. Plan to request an air conditioner from our office and follow the established program.)

How to Request an Air Conditioner

  1. Complete a Student Request for Air Conditioner form.
  2. Take a Medical Verification Form to your appropriate licensed health care professional to complete. (Sorry, we're unable to accept a prescription from the physician, and a physician must complete the form in its entirety.)
  3. Mail or Fax the completed Student Request Form and completed Medical Verification Form from a licensed physician to the following address:

    Director
Ball State University Housing and Residence Life
    LaFollette Complex, Room N-10
    Muncie, IN 47306
    Fax: 765-285-3743

  4. After your information is received and reviewed, you will be asked to sign a contract from our office.

As part of the accommodation process, you may be interviewed. Remember, a request for an accommodation will not be considered without current medical verification of the medical condition and necessity of requested accommodations.

Contact our office for copies of both forms and for additional information, or download the student request and medical verification forms (requires Adobe Acrobat).

Once the forms are received, a review of the information will be made, and our office will respond as soon as possible. An air conditioning contract will be mailed to you upon approval. Completed forms must be postmarked no later than July 1 in order to ensure installation in your room before move-in. Should your form arrive after July 1, it may take up to two weeks after move-in before installation may occur.

Your hall assignment will be sent to you through the following methods:

  1. An email sent to your Ball State email account
  2. A postcard sent to your address on file

If you have not received an email by July 22 or the mail piece by August 1, please contact our office at 765-285-8000.

Our office tries our best to place all incoming students in their respective community, but there are occasions when we are not able to do so. Some reasons include: Housing deposit date, space availability, and roommate preference.
