When Ball State University, a Department, or a faculty member receives donations of non-cash products, SPA does not process these. These expenditures do not represent true expenses, and they do not meet the definition of a sponsored project.

Donations of tangible, non-cash products (e.g., equipment, materials, etc.) should be directed to the Ball State University Foundation for receipt and recording through their gift-in-kind process. However, the foundation cannot negotiate the agreements on Ball State’s behalf.

Donations of other non-cash products, including software and software licenses, should first be directed to Mark Watters in the EPSO regarding any free software license request; there is an online form for this purpose. Once IT approval is secured, the next step is to reach out to the Office of General Counsel.
