CAP Meeting Minutes, May 4, 2005
Members Present  Joe Bilello, Diana Brenner, Karen Courtney, Michelle Harrell, Dean Illingworth, Tina Jones, Ernie Krug, Jamie Lake, Jennifer Milliken, Michel Mounayar, Pat Quinn, Kate Webber and Dan Woodfin.

President Jamie Lake called the meeting to order at 3:10 p.m.

Minutes
After a brief review of the March 23, 2005 minutes, Tina Jones made a motion to accept the corrected minutes, Dan Woodfin seconded the motion, and the minutes were approved by voice vote.

Changes to the minutes included:

  1. Correction to Malcolm Cairns' name was made in the "Guest Present" section.
  2. The word faculty was added to the first sentence in the second paragraph of the "Update from the College" section.

Sappenfield Awards
Pat Quinn received one nomination for Malcolm Cairns.  Jamie Lake received a nomination for Malcolm Cairns and Scott Truex.

Another call for nominations will go out in eCAP the week of May 9.  Deadline for nominations will be two weeks after the May edition of eCAP has been sent.  Nominations will be sent to Dean Illingworth.  Any response coming to the Alumni Association will be forwarded to Quinn.

A decision is intended tobe made by e-mail among the board and announced at the June meeting. If needed, discussion and decision will be finalized at the June meeting.

Alumni Awards
Quinn reported that 22 letters requesting information have gone out to nominees and only one response has been received.  Information from nominees is due June 12, 2005.

College Update
Muncie Arts Walk will be held on May 5, 2005.

The academic year's goals were achieved.

The 40th anniversary celebration has been going well.

Tony Costello will be working with University Development after his retirement.

Fieldtrip week has been moved so there will not be as much student work available during Alumni Day.  Faculty and students will leave September 24, 2005 and will return the week of September 28.

Advertisements
Quinn announced the mugs, t-shirts and frisbees have been chosen.  Printing on the items will be done by a local vendor closer to the fall semester.

When the promotional items are in, they will be sold through the Alumni Association's Cardinal Corner.  Sales tax and credit card fees will be taken out of price of the items sold.

Mentoring Program

Illingworth reported that the model for our mentor program is based on the program set up by the College of Architecture and Landscape Architecture (CALA) at the University of Minnesota. Their overview can be seen by visiting www.cala2.umn.edu/mentor/overview.html.    Each board member received the first draft of CAP's mentoring overview.  Jamie Lake will send an electronic version to everyone so they can make suggestions to Illingworth, Jones or Theresa Jeter-Newburn.  Comments and suggests are due back by Monday, May 9.

Ilingworth asked Quinn for assistance with getting quotes from the key people mentioned on page 2 of the overview.  Lake suggested having student and alumni quotes as well.

The final version of the overview will be given to Quinn so that Brad Beaubien, who organizes the CAP websites, can get the overview on the Web site.

Jones will prepare text with links for the next eCAP and BSUAA Cardinal's Nest.  She will also prepare text for two separate mailings; one for students and one for alumni.

Diana Brenner's office is hosting a reception during the AIA Regional Meeting on September 15, 2005.  She will see if they can do something to help bring recognition to the mentor program at that time.

Communications
Karen Courtney suggested possibly having a two-hour workshop with a consultant for a future meeting.  She will check into to the possibility of underwriting approximately four hours of a consultant's time to help develop a branding strategy for the communication areas including eCAP, ReCAP, etc.

Dan Woodfin made a motion to proceed with Courtney checking in to the possibility of a two-hour work session, Jones seconded the motion, and the motion was approved by voice vote.

Exhibitions
Jones announced the exhibits will be displayed at the CAP: Indy Center next fall.  Brenner will see if the exhibits could be displayed during the Arts Garden Exhibit in Indianapolis.

Storage units will be built for the exhibits so that they can be shipped to different venues in Indianapolis safely.

Jones suggested displaying a different alumni exhibit each month along with the past alumni award winner's exhibits on the "Wall of Fame"

Monographs
Brenner announced an outline of the monograph should be available by the June meeting.

SpecialEvents
Lake said the committee for special events will meet to begin developing an agenda for Alumni Day prior to the June meeting. Proposed agenda items will be discussed and a more detailed agenda will be developed. Activities discussed thus far are: breakfast fro mentoring program members, jpegs display, Dean's Golf Outing, field trip info or projects display, award winners presentations, sale of items, recognitions of former Deans or award winners or "special guests".

Students will be returning from field trip week on Wednesday the 28th.

It was stated that the students are planning a CAP Day tentatively for October 1.

Next Meeting
The next meeting will be June 22, at the CAP: Indy Center at noon.
