CAP Meeting Minutes, October 21, 2004
Members Present: Joe Bilello, Diana Brenner, Michelle Harrell, Greg Jacoby, Ernie Krug, Debra Kunce, Jamie Lake, Jennifer Milliken, Pat Quinn, Doug Reddington, Kate Webber and Dan Woodfin.

President, Jamie Lake, called the meeting to order at 12:15 p.m.

Minutes
After a brief review of the September 18, 2004 minutes, Greg Jacoby made a motion to accept the minutes, Debra Kunce seconded the motion, and the minutes were approved by voice vote.

Alumni Council Representative
Jamie Lake announced Doug Reddington's term as the alumni council representative has ended. Jamie Lake was elected to replace Reddington.  Doug Reddington will resign his position on the board in order to devote more effort towards the Alumni Council.  He will continue to serve on the board until he has been replaced.  Reddington recommended Karen Kane-Courtney for the position.  Joe Bilello will contact her to see if she will accept the appointment.

Recap of CAP Alumni Day 2004
Discussion followed on the successes and challenges for Alumni Day 2004:

Observations

  1. Eighteen students (12 first-year students) attended discussions at the afternoon lunch.
  2. Dan mentioned the students enjoyed when Dean Illingworth and Sheila Snider ate lunch with first-year students and then spent the afternoon speaking with the students.
  3. Golf outing was once again a successful event enjoyed by all.
  4. Afternoon lectures were once again a successful event.
  5. Attendance by student organization leaders led to great discussions for links between students and alumni.   Seems to be leading in direction of student support and awareness of alumni events to come. Involved students today are involved alumni tomorrow.

Suggestions

  1. Have a design competition to get students involved. The prize is not important.
  2. Have Alumni Day be a one-day event.
  3. Have Alumni Day on Friday with a football game on Saturday.
  4. Have "in progress" student juries.
  5. Increase attendance at lunch and dinner.

    --Invite students to the lunch, free of charge.
    -- Invite graduating class to the dinner, free of charge, via sponsors.
    -- Invite professors to the dinner, free of charge, via sponsors.
    -- Invite student organization leaders to the dinner, free of charge, via sponsors.

  6. Have a reception tied into the AIA regional convention in Indianapolis
    September 15-18.
  7. Jamie mentioned sending a thank you letter to each of the professors who attended the alumni activities in recognition of their support. Jamie will write and send on behalf of the Board.


Select Date for Alumni Day 2005
Possible dates for Alumni Day 2005 were discussed.  Setting a date as early as possible will help incorporate other events throughout the year and increase opportunity for greater attendance.  Joe Bilello asked Ernie Krug to bring dates of away football games for next year to help select the date for Alumni Day 2005.  Some key dates for to note in planning: AIA Regional Convention in Indy: September 15-18; Homecoming: October 15.

Award Committees
Jennifer Milliken will head the alumni awards next year and Dean Illingworth will head the Sappenfield awards.  Jamie Lake volunteered to create a checklist / "to do" list to assist in completing these tasks.

Alumni Survey
Jennifer Milliken distributed a draft of the alumni survey she developed and asked for feedback.  It was suggested that once corrections were made, that the survey be mailed to alumni in an upcoming mailing that CAP will be sending in addition to the next Recap mailing.  Jennifer will make corrections discussed at the meeting and follow up with Pat for distribution.

Monograph & Publications
Jamie Lake announced that since the 40 in 40 theme was not going to be used, the monograph will be reverting back to a history type yearbook as originally conceived by Joe Billello.

Debra Kunce announced AIA will mention the 2005 CAP anniversary events in each of issue its monthly newsletter.

Reaching Future Alumni Today
Jamie Lake mentioned the president of CAP AIAS said they would like to have CAP's Alumni Web site link to theirs.  They will also list CAP upcoming events on their calendar.

Budget
Joe Bilello gave a report on the budget items for the anniversary.  It was estimated that the board's volunteer time would be worth approximately $100,000 and the total budget would be near $165,000.

Adjournment
The next planning meeting will be Thursday, November 18 at the Indy Center at noon.
